TERMS & CONDITIONS

We are members of the BH & HPA and our Terms & Conditions are based on their model, which were reviewed in light of the Unfair Terms in Consumer Contract Regulations 1999 and were written by Tozers Solicitors.

Introduction
Sleningford Watermill Caravan & Camping Park is a privately owned Park catering for touring caravans, trailer tents, tents and motor caravans. Our visitors' enjoyment and safety is paramount and we therefore ask you to read and agree to the following Terms & Conditions before making a booking.

We reserve the right to ask guests who contravene these Terms & Conditions (including our Rule & Regulations) or who in any way behave in a manner likely to cause distress or nuisance to other visitors to leave the Park immediately. In these circumstances the holiday ceases (without refund) and e shall not be liable for any extra costs incurred.

Access Statement & Policy
We seek to provide the very best service to all our visitors and have a specially prepared Access Statement available which describes the facilities we have to offer on the Park. This includes a copy of our Terms & Conditions and a Booking Form, both in large print. If you would like a copy, or wish to discuss any other special needs, please let us know when making your booking.

Booking Conditions
We cater for families, couples and singles. Unlike the majority of Parks, we also accept bookings from groups (particularly Canoe Clubs) but this is dependent upon all members of the group complying with these Terms & Conditions. When group bookings are made, we will require details and a deposit for each pitch booked. We do not accept bookings for groups under the age of 18. We reserve the right to refuse any booking.

Please note that we do not accept large tents on Premium Pitches during Bank Holiday weekends; we do not accept groups of more than 6 units during Bank Holiday weekends and we do not accept more than two group bookings for any weekend during the High Season or school holidays.

Bookings can be made by telephone, post or email but a Booking form needs to be completed for each pitch required.

Two night minimum advance bookings only are accepted (4 night minimum advance bookings for Easter Bank Holiday weekend and 3 night minimum advance bookings for all other Bank Holiday weekends). The booking is confirmed upon receipt of a non-refundable deposit, as follows:

Deposits can be made by debit/credit card over the telephone or by cheque (made payable to Sleningford Watermill). If you require a receipt and confirmation, please enclose a stamped addressed envelope. If deposits are not paid within 14 days from the date of booking, we reserve the right to cancel your booking.

The person who makes the booking is responsible for the booking and warrants that they are aged 18 years old or over and that the party will not exceed the numbers stated on the Booking Form.

The information supplied on the Booking Form will be stored for administrative purposes only. Under no circumstances will this information be provided to a third party. For the purposes of the Data Protection Act 1984, the signing the Booking Form signifies your assent to these terms.

The Price of the Holiday
Once you have made your booking and paid a deposit, the price of the holiday will not be subject to any change unless the rate of VAT changes. Please see a copy of our Tariff.

The balance of the price of your holiday must be paid on arrival at the Park. The prices listed include VAT.

Cancellation of the Holiday by You
You may cancel your holiday at any time. Cancellation will be effective on the date it is received by us. There are no penalties for cancelling the holiday other than the loss of the deposit which is non-refundable. In certain circumstances and at the discretion of the Managers, we may transfer the deposit to another booking made within the same season. However, we do not transfer deposits if the cancellation is made less than 2 weeks before the arrival date.

Change or Cancellation of the Holiday by Us
If we are unable to provide the booked holiday and have had to cancel before the holiday is due to start, you are entitled to a full refund of the money you have paid.

Rules & Regulations
By making a booking with us you have entered a contract in which you undertake, on behalf of yourself and the people in your party (including children and any day visitors), to adhere to our Rules & Regulations. Please ensure that you read this document in conjunction with the Terms & Conditions as anyone found breaking any of the Rules and Regulations may be asked to leave the Park and will not be entitled to a refund of fees paid.

Health & Safety
We take the wellbeing and safety of our guests very seriously and we ask that you comply with the following:

  • The speed limit on the Park is strictly 5mph.
  • All vehicles must conform to the Road Traffic Act and have current tax, MOT and insurance. The provisions of the Highway Code apply to the roads on the Park. Caravans must be fully insured by the owner.
  • Guests are not allowed to bring lorries or other commercial vehicles on to the Park without the permission of the Managers. This includes towing vehicles.
  • No recreational vehicles can be used on the Park. This includes motorised scooters.
  • No mechanical or repair work is to be undertaken on the Park unless it is being carried out by the AA, RAC or similar organisation.
  • A maximum of 2 vehicles can be parked next to the pitch. All other vehicles, including trailers and boats, must be parked in the main car park unless agreed otherwise. During busy periods, it may be necessary to only permit one vehicle per pitch.
  • The river is used by anglers, canoeists and families. Please be aware that moving water is always dangerous, whatever the level, and you enter the water at your own risk. Children especially must be supervised at all times.
  • Any organisations planning to bring a group of canoeists to the Park (whether for the day or for longer) must contact the Managers prior to arrival to check availability. The leader of any group must also provide a Risk Assessment for every visit to the Park and carry out dynamic risk assessments whilst on the Park, although receipt by the Managers does not qualify them as suitable and sufficient.
  • Please make yourself aware of the nearest fire point. Fire fighting equipment is provided on the Park but caravanners and campers are advised to have some form of fire-fighting appliance in their unit.
  • The electricity supply on the Park is 10amp only and will not support domestic electrical appliances. The use of domestic appliances, particularly kettles and heaters etc, is not permitted.
  • Smoking is not permitted in any of the Park's buildings.
  • Stone-throwing is not permitted, particularly when canoeists and anglers are in the river.
  • Do not fly kites on the park.

Dogs and Other Pets
If you bring your dog with you when you stay with us we ask that you keep the dog on a short lead on the Park at all times, although they are permitted to swim in the river as long as they don't cause concern to other users of the river and are put back on a lead when they exit the water. Clean up after your dog and do not leave your dog unattended at any time in cars, tents, caravans or awnings. Dogs are not permitted in any of the buildings on the Park (including Reception) unless they are assistance dogs.

We reserve the right to require that the owner removes their dog, or any other pet, from the park if it is a nuisance or danger to other guests and/or their pets.

Pitches
The size of your unit, including any tents and gazebos, must be stipulated at the time of booking to ensure that the allocated pitch is large enough. Should you subsequently alter your requirements, we cannot guarantee to provide an appropriately sized pitch.

Please advise us if you are likely to arrive later than 8.00pm. If we have not heard from you within 24 hours of your expected arrival, we reserve the right to re-let your pitch.

Pitches are available from 1.00pm on the day of arrival and all pitches must be vacated by 12.30pm on the day of your departure, unless you have agreed (and paid for) an earlier arrival or departure time with the Managers. If you wish to stay later than 12.30pm please come to reception before 12.30pm to check availability. You are requested not to arrive before 9.30am and latest arrival time is 9.00pm. If you are unable to arrive by 9.00pm and you have booked a premium pitch, please delay your arrival until the following day as we have no late arrival facilities and you will not be shown to your pitch after 9.00pm. If you have booked a standard pitch and have stayed on the Park previously, you may pitch up in the appropriate area up to 10.00pm and then report to Reception between 8.30am-10.30am the following day.

On Bank Holiday Mondays, pitches must be vacated by 12.00 noon at the latest and will be available no earlier than 1.30pm.

Every endeavour will be made to allocate guests the pitch of their choice. However, it must be clearly understood that acceptance of a booking is not conditional on the allocation of a particular pitch. If we have to change your allocated pitch, we will notify you as soon as possible and you will be offered a similar pitch in the same area of the Park.

We cannot guarantee that groups will be allocated pitches together (either on premium or standard pitches) but, where possible, we will reserve areas for groups on standard pitches if requested. Please note we do not accept more than 2 group bookings per weekend.

Your pitch number and directions to it will be confirmed on arrival. If you are in doubt whether you are on the right pitch, please check with the Managers. Any guest on the wrong pitch will be required to move.

Our Premium Pitches are 10m wide. As a general rule, tents 5m wide and above (including the guy ropes) cannot be accommodated on premium pitches although, dependent upon availability, it may be possible to book (and pay for) two pitches for the unit.

Although we provide dustbins and litter bins, some visitors still leave a lot of rubbish and litter behind. Please ensure that you keep your pitch tidy and that you check your pitch before you leave to ensure it is free of litter. All rubbish bags must be placed in the metal dustbins and not in the litter bins which are provided for litter only. Free black sacks are available from Reception (one per pitch). Please recycle newspapers, bottles and cans in the recycling bins in the main courtyard or leave bottles and crates on The Island. Unfortunately, we have no facilities at present for recycling plastic bottles and containers.

Complaints
If you have a complaint about anything during your holiday please raise it with the Managers (or their representatives) immediately so that we can take steps to rectify any problems. If you wish to pursue it following your departures, please write to us within 28 days of departure. However, we do suggest that you try and complete a report about the complaint while you are on holiday.

Sleningford Watermill Co. Ltd. will not be liable for actions resulting in death, personal injury or damage to property unless arising from our own negligence or other breach of duty. This extends to all areas of the Park including the river.
